Data Encryption & Key Management
All sensitive data stored within our platform is protected by strong encryption at rest. We have integrated AWS Key Management Service (KMS) to manage our encryption infrastructure. This means our Platform Master Keys are generated, stored, and used within hardened, tamper-resistant Hardware Security Modules (HSMs) in the cloud, ensuring encryption keys never exist in plaintext within our application server environment.
Zero-Access Architecture
Digital Case Files operates on a zero-access privacy model. Our systems are engineered so that we cannot access, view, or retrieve your personal files and data outside of a scheduled, client-supervised session. Your data is your data — for your eyes only.
Secure Payment Processing
All payment transactions are handled exclusively through Stripe, a PCI-DSS Level 1 certified payment processor. Digital Case Files never stores, processes, or has access to your credit card numbers or financial data. Your payment information is transmitted directly to Stripe's secure infrastructure.

Information We Collect
We collect only the minimum information necessary to deliver our services:
- Name, email address, and phone number — provided when you book a session
- Session notes and preferences — to customize your organization experience
- Payment confirmation details — transaction IDs from Stripe (we never receive your card number)
How We Use Your Information

- Scheduling and delivering your digital organization session
- Sending booking confirmations and session follow-ups
- Providing your personalized Digital Organization Map
- Responding to your support inquiries
We do not sell, rent, or share your personal information with third parties for marketing purposes. Ever.
How We Protect Your Data
We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. Our specific technical safeguards include:
- Cryptographic Session Management: User access is governed by secure, server-verified authentication tokens rather than relying on easily spoofed headers or cookies.
- Hardware-Backed Encryption: Sensitive information is encrypted using symmetric encryption keys that are managed in isolated cloud hardware environments (AWS KMS), strictly limiting access to decryption capabilities solely to authorized production processes.
- PCI-DSS Compliant Payments: All payment processing is handled by Stripe, a certified PCI-DSS Level 1 service provider. Your payment details never touch our servers.
Your Data During Sessions
During a digital organization session, we work directly on your devices and accounts under your supervision. We do not copy, download, or retain any of your personal files, emails, photos, or documents. All organization work is performed live and in real-time. Once the session concludes and you provide your approval, our access to your digital environment ends completely.
Data Retention & Deletion
We retain your booking information (name, email, session records) only for as long as necessary to provide our services and meet our legal obligations. You may request deletion of your personal data at any time by contacting us at [email protected]. Upon receiving a verified deletion request, we will permanently remove your personal information from our systems within 30 days.
Cookies & Analytics
Our website uses only essential cookies necessary for site functionality and security. We do not use third-party advertising cookies or tracking pixels. Any analytics data collected is anonymized and used solely to improve the user experience on our website.

Refund Policy
Digital Case Files is a professional service — similar to landscaping, hair styling, or home cleaning. Once the work has been performed, the service is considered delivered and complete.
Service Delivery
All services are performed in real time during a scheduled session. Because the work is completed and delivered during the session itself, all sales are considered final once the service has been rendered. This is consistent with standard practices for professional service industries.
Our Commitment to Quality
We take pride in every session. If at any point during your session you feel the service does not meet your expectations, let us know immediately and we will work with you to ensure your satisfaction before the session concludes. Your approval is required before we consider the work complete.
Cancellations
Cancellations made more than 24 hours before a scheduled session will receive a full refund. Cancellations within 24 hours may be rescheduled at no additional charge. No-shows may be rescheduled once at our discretion.
Concerns & Dispute Resolution
In the rare event of a concern after your session, please contact us directly at [email protected]. We are committed to addressing any issues promptly and fairly. In extreme circumstances, refund eligibility may be assessed on a case-by-case basis. We ask that clients contact us directly before reaching out to their financial institution, as we can typically resolve any concern within 24 hours.
Service Completion & Client Approval
Every Digital Case Files session follows a structured completion protocol designed to ensure full client satisfaction and transparent documentation of all work performed. No session is considered complete without the client's explicit approval.
Step 1: Pre-Session Documentation
Before any work begins, the current state of the client's digital environment is documented. This includes screenshots and records of existing folder structures, email counts, and file organization (or lack thereof). This establishes a verified baseline that both parties can reference.
Step 2: Zero-Deletion Policy
Digital Case Files operates under a strict zero-deletion policy. No files, emails, photos, or documents are ever deleted during a session. All items are reorganized, renamed, and categorized — never removed. An “Archive” or “Unsorted — Original” folder is created for any items that do not fit neatly into the new structure, ensuring nothing is ever lost or inaccessible.
Step 3: Guided Walkthrough & Client Approval
At the conclusion of every session, the client receives a guided walkthrough of the completed organization. Every folder, category, and structure is reviewed together. The client is shown exactly where their files, emails, and documents have been placed. The client must provide written confirmation (via email or digital sign-off) that they have reviewed the work, understand the new structure, and approve the completed organization. No session is finalized without this explicit client approval.
Step 4: Digital Organization Map Delivered
Every client receives a personalized Digital Organization Map — a detailed reference document outlining the complete folder structure created, what was organized, where each category of files was placed, and tips for maintaining the new system. This map serves as a permanent guide so the client can confidently navigate their newly organized digital environment at any time.
Step 5: Certificate of Completion
Upon client approval, a Certificate of Completion is issued documenting the scope of work performed, the client's sign-off, and the date of service. This certificate serves as a formal record that both parties have agreed the service was delivered to satisfaction. The combination of pre-session documentation, client walkthrough, written approval, organization map, and Certificate of Completion provides a comprehensive, verifiable record of every engagement.
